This policy explains what personal information Technilingual collects, why, how long it is kept and what your rights are. It is written to be read, so it is kept short and plain.
1. Who we are
Technilingual is a trading name of William Evans, a sole trader based in the United Kingdom. William Evans is the data controller for the personal information described here.
Contact for anything in this policy: hello@technilingual.com.
2. What we collect
When you request a quote or email us
Your name, company, email address and anything you tell us about your project (word count, languages, tier, deadline and notes).
Documents you send us
The files you ask us to translate, and the translated versions we produce. These may contain personal information, such as names in a document. We only use them to carry out your project.
Business contact details for outreach
We may contact people at businesses that could benefit from our services. For this we use business contact details such as name, job title, company, work email address and LinkedIn profile, taken from public sources like LinkedIn and from business data providers such as Apollo.io.
Invoicing
Your business name, contact details and payment records.
Website analytics
We use Cloudflare Web Analytics to understand how many people visit the site and which pages they view. It does not use cookies and does not build a profile of you. It records information such as the page viewed, browser type, device type and country.
3. Why we use it, and our lawful basis
| What we do | Lawful basis under UK GDPR |
|---|---|
| Reply to your enquiry and prepare a quote | Steps taken at your request before entering into a contract |
| Translate your documents and deliver the work | Performance of a contract |
| Send invoices and keep accounting records | Contract, and legal obligation (tax and accounting law) |
| Contact businesses about our services | Legitimate interests (business-to-business marketing) |
| Measure website use with cookie-free analytics | Legitimate interests (running and improving the website) |
You can object to business marketing at any time by replying "stop" or emailing us, and we will not contact you again.
4. Who we share it with
We never sell your information. We only share it with the service providers we need to run the business, who process it on our behalf:
- Cloudflare: website hosting, security, analytics and email forwarding.
- Resend: delivers quote form submissions to our inbox.
- Google (Gmail): our email service.
- Apollo.io and LinkedIn: finding and contacting business prospects.
- AI translation tools: your documents are processed by AI translation software as part of our workflow, only to produce your translation.
- Specialist reviewers: for Tier 3 projects, a native or technical reviewer sees only what is needed to check the translation, under confidentiality.
We may also share information where the law requires it.
5. International transfers
Some of our providers are based in, or use servers in, other countries including the United States. Where personal information leaves the UK, we rely on the safeguards the provider offers, such as UK adequacy regulations or the UK's approved data transfer agreements.
6. How long we keep it
| Information | How long |
|---|---|
| Source and translated documents | Deleted 7 days after payment is completed |
| Enquiries that don't go ahead | Up to 12 months, then deleted |
| Invoices and accounting records | As long as tax law requires, usually 6 years |
| Business prospect details | Until you ask us to stop, or once they are no longer relevant; reviewed at least every 12 months |
7. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the information we hold about you
- ask us to correct or delete it
- object to, or ask us to restrict, how we use it
- ask for your information in a portable format
Email hello@technilingual.com to use any of these rights. We will respond within one month.
8. Keeping it secure
We use reputable, secure providers, keep access to your files limited to the people working on your project, and delete documents on the schedule above.
9. Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed.
